Acceptable Use & Privacy Policy
This policy explains how you may use Helium22 Portal Apps/Services (the "Portal"), operated by Helium22 Portal Apps/Services, and how we handle information about you. It forms part of our Terms & Conditions.
Part A — Acceptable Use
A1. What you may do
You are welcome to use the tools listed on the Portal for your own lawful business or personal purposes, including day-to-day work, evaluation and internal projects. Access is provided free of charge and on the understanding that you use it responsibly.
A2. What you must not do
You must not, and must not attempt to, use the Portal or any tool listed on it to:
- break any law or regulation, or infringe anyone's rights, including intellectual property or privacy rights;
- process, store or distribute material that is unlawful, defamatory, obscene, discriminatory, harassing or otherwise objectionable;
- upload or transmit malware, or anything designed to damage, disrupt or gain unauthorised access to any system or data;
- gain or attempt to gain unauthorised access to the Portal, its server, any account, or any connected system or network;
- probe, scan or test the vulnerability of the Portal, or bypass or interfere with any security, authentication, rate-limiting or access-control measure;
- scrape, harvest, mirror or systematically download content, or use bots, crawlers or other automated means, other than a search engine indexing publicly available pages;
- place an unreasonable or disproportionate load on our infrastructure, or interfere with anyone else's use of the Portal;
- reverse engineer, decompile or disassemble any part of the Portal, except where applicable law expressly allows it;
- resell, sublicense, rent, or commercially exploit access to the Portal or the tools listed on it;
- hotlink to, embed, frame or re-host assets from the Portal on another site without our written permission;
- share your account credentials, use another person's account, or impersonate any person or organisation;
- misrepresent your affiliation with us, or suggest that we endorse you, your organisation or your output.
A3. Your responsibility for how you use the tools
The tools are provided as a convenience. You remain solely responsible for what you do with them, for any data you put into them, and for checking that any result is accurate, lawful and appropriate before you rely on it or share it. Do not enter personal data, confidential information, or regulated data into a third-party tool without first satisfying yourself that doing so is lawful and permitted by your own organisation.
A4. Monitoring and enforcement
We monitor use of the Portal for security and abuse-prevention purposes. Where we reasonably believe this policy has been breached, we may remove or restrict access, suspend or close your account, block your IP address or network, retain records of the activity, and report the matter to law enforcement or other authorities. We may also seek to recover from you any losses or costs caused by the breach.

Part B — Privacy
B1. Who is responsible for your data
Helium22 Portal Apps/Services is the controller of the personal data described in this policy. You can contact us about anything in this Part at support@helium22.com.
B2. What we collect
- Account details — username, email address, and a securely hashed password and recovery key. Optionally, if you choose to provide them: first name, surname, date of birth, business address, mobile and telephone number.
- Technical data — your IP address, browser user-agent string, and session information, collected automatically when you use the Portal.
- Usage data — which products you view and which links you click, and a security audit log of significant account actions such as sign-in, password change and administrative changes.
We do not collect payment details, and we do not use advertising or third-party analytics trackers.
B3. Why we use it, and our lawful basis
- To provide the Portal and your account — performance of our agreement with you (our Terms).
- To keep the Portal secure — detecting and preventing abuse, unauthorised access, and excessive automated requests. Our legitimate interest in protecting our systems, our business and our users.
- To understand which tools are useful — aggregate view and click counts. Our legitimate interest in improving the service.
- To comply with the law — where we are required to retain or disclose information.
B4. Cookies
We use a single essential session cookie to keep you signed in and to protect forms against cross-site request forgery. It is not used for advertising or profiling, and it is removed when your session ends. Because it is strictly necessary to provide the service you have asked for, no consent banner is required.
B5. Who we share it with
We do not sell your personal data, and we do not share it for marketing. We may share it with our hosting and infrastructure providers acting on our instructions, with professional advisers where necessary, and with law enforcement, regulators or other authorities where we are legally required to do so or where it is necessary to investigate misuse.
When you follow a link to a third-party tool, that third party will handle your information under its own privacy policy, which we do not control.
B6. How long we keep it
- Account data — for as long as your account is open, and for a reasonable period afterwards to handle queries and disputes.
- Security and activity logs — typically up to 12 months, or longer where needed to investigate or defend a specific incident.
- Blocked IP records — for as long as the block remains necessary.
B7. Security
Passwords are stored using a strong one-way hash and are never visible to us. We apply access controls, rate limiting, IP blocking and session protection. No system can be guaranteed completely secure, so please use a strong, unique password and tell us immediately if you suspect a problem with your account.
B8. Your rights
Subject to conditions in data protection law, you have the right to access a copy of your personal data, to have inaccurate data corrected, to have data erased, to restrict or object to certain processing, and to receive your data in a portable format. If you are in the UK and you are unhappy with how we have handled your data, you may complain to the Information Commissioner's Office (ico.org.uk). We would appreciate the chance to address your concern first.
B9. Children
The Portal is intended for business and adult use. It is not directed at children, and accounts should not be created by anyone under 16.
B10. Changes to this policy
We may update this policy from time to time. The version published on this page is the version that applies, and the date at the top shows when it last changed.
